Junior Class Check List

 

Make sure prom room door is padlocked. There have been many things stolen out of there.

 

AUGUST

 

____    Choose a date for the prom.  Do not choose Mothers’ Day weekend!!!

____    Find a band / DJ for the prom and initiate process for getting a contract.

____    Find out from athletic director or senior class president when the homecoming

            dance is.  Find a DJ for that as well and get a contract.

____    Look at finances.  Check on current balance with financial secretary and project

            fund-raising needs.  (In recent years, the prom has averaged $ 6-7 thousand at

            EHS; the Homecoming Dance might yield $1500; Ticket sales for the prom brings

            In another $2000 or so.)

 

SEPTEMBER

 

____    Plan homecoming hallway decorations and float.  Assign people for particular

            jobs.

____    Assign committees for the Homecoming Dance for decorations, refreshments,

            and tickets.  Arrange for a custodian to clean up on Sunday.  (Custodian pay –

            typically $100.)

 

OCTOBER

 

____    Make final arrangements for Homecoming.  Make sure an advisor has a set of

            master keys for the night of the dance.   Make sure you have change for the door.

 

NOVEMBER

 

____    Between Homecoming and Christmas would be the best time to do any last fund

            raising before actual work on the prom begins. 

 

DECEMBER

 

____    Choose a theme for the prom.   Get old or new prom catalogs to brain storm for

            ideas.  Anderson’s  (andersonsprom.com)  is the biggest.  Stump’s is another.

            Perhaps a theme committee would be best; they can then present several theme

            ideas to the entire group.  Make sure there is a universal color theme.

 

JANUARY

 

____    Form committees for each aspect of the prom.  An advisor should be assigned

            to each committee.  Many of the meetings from January to March will be by

            committee in that advisor’s place of choice.  Each committee needs a student

            chairperson to represent the committee when the council meets.  (During this

            phase of the planning process it is better not to have the entire prom council

            meet; it can get chaotic!)  The class president or secretary needs to make up an

            entire list of committees with advisor, chairperson and members listed.  Not all

            committees need to be the same size.  They are listed below with the

largest committees first.

 

1.      Main floor / ceiling decorations

2.      Entry / courtyard decorations

3.      Table decorations

4.      Invitations and tickets

5.      Food

6.      Band/DJ  and  Photographer relations

 

*  Committees 1 and 2 should survey their areas.  (The cafeteria is approx. 120’ x 60’)  Take note of where electrical outlets are and where structures to hang decorations are.  Check with Mr. Beatty for any wooden structures that his classes can make in shop.  Check with Mr. Broschart at Vo-Tech about any special electrical hook-ups.  The school owns an electrical device to hook into the circuit

breaker box in the kitchen and bring out six dedicated 20-amp lines into the cafeteria.

 

____    Get new prom catalogs to the decorating committees.  Advise them that ordering

            everything from the catalogs can get expensive and if there is an alternative

            (borrowing from individuals or businesses, building larger decorations from

            scratch, recycling old materials, etc)

____    Make a master decorating and table plan on graph paper.

____    Make a master budget from committee requests.

 

FEBRUARY - MARCH

 

____    Make any early catalog orders you can.  Check them off when they arrive and

            note where they are stored.

____    Begin working on anything that can be made from scratch.

____    Keep good record of purchase orders, purchases, and account balance.  Check

            Gerri often.

 

APRIL – MAY

 

____    Arrange for announer for entrance processional – Have a back-up place (the

            theater?) in case of rain.  Also, plan for an umbrella check-in in case of rain.

            Get somebody to work the school PA system for the processional.

____    Re-check with Band or DJ

____    Make arrangements for rolling scaffold to be brought to the school by mainten-

            ance  (Don’t use the cherry picker!!) 

____    Make final check with each committee chair and advisor that everything is OK

____    Call Coke to set up machine (if necessary)

____    Call florist about flowers  (if needed)

____    Set a work schedule for all prom council members during the two weeks prior to

            the prom date and detail job assignments

____    Print tickets – See Sherri

____    Sell tickets two weeks prior to prom  (Students can sell them in the cafeteria.)

____    Get teachers and parents to chaperone – Get time commitments

____    Make arrangements for prom council members to be out of class the Friday

            afternoon before prom

____    Make sure food will be picked up or delivered

____    Get parent or community member volunteers (adults) to help with parking.

            Students only may park in the school parking lot; adult onlookers are to park

            in the power company lot – Get permission from Allegheny Power about that.

 

MAY

 

____    Get commitments for helpers on the Sunday after prom to take down and put

            away.

____    Write thank you notes

____    Check with Gerri about account balance and paying final bills

____    Return keys
